REDBIRD REAL ESTATE – WIRE FRAUD POLICY
At Redbird Real Estate, LLC, the security of our clients' funds and personal information is a top priority. We are committed to maintaining the highest standards of cybersecurity, risk mitigation, and consumer awareness—especially in a time when real estate transactions are increasingly targeted by sophisticated wire fraud schemes.
This Wire Fraud Policy applies to all subsidiaries and affiliated divisions under the Redbird brand, including but not limited to Redbird Residential, Redbird Commercial, Redbird Properties (our property management division), and Redbird Referral Network.
1. We Never Send Wire Instructions Via Email
Redbird and its agents will never send initial or revised wire instructions via email or text message. Wire instructions should only be obtained:
Directly from your title company or closing attorney,
Via a verified, secure portal,
Or through a direct phone call to a known and trusted number.
If you receive wire instructions by email, assume they are fraudulent until confirmed through proper verification.
2. Confirm All Wiring Instructions by Phone
Before wiring any funds, clients and partners are instructed to:
Call a known, trusted number for the title company or closing attorney (not a number provided in an email),
Ask for confirmation of the account number, routing number, and recipient details,
Document the confirmation for your records.
When in doubt—call before you wire.
3. Use Secure Communication Channels Only
Redbird and its representatives use encrypted platforms for all confidential communications. We will never request or transmit sensitive financial details via unsecured platforms such as:
Gmail, Yahoo, or other personal email accounts,
SMS/iMessage,
Social media messengers.

4. Our Email System Includes Anti-Fraud Disclaimers
All outbound emails from a @redbird.us domain include an automated security disclaimer, powered by Exclaimer, warning recipients about wire fraud and reiterating our non-negotiable policy, such as:
"Redbird will never email you wiring instructions. Always confirm details with your closing provider via phone before sending any funds."
If you ever receive communication that appears to contradict this, report it immediately.
5. Education and Proactive Monitoring
Redbird provides ongoing training to staff and agents on how to spot phishing attempts, spoofed email addresses, and social engineering schemes. We also:
Monitor for abnormal communication patterns,
Flag suspicious activity,
Educate our clients during onboarding and throughout each transaction.
6. Redbird Is Not Responsible for Client Losses Due to Fraud
While we take extensive precautions to protect you, clients are ultimately responsible for verifying all financial instructions. Redbird is not liable for any loss incurred due to:
Funds sent to fraudulent accounts,
Failure to confirm instructions properly,
Or bypassing our recommended communication protocols.
7. Report Suspicious Activity Immediately
If you believe you’ve been targeted or may have received fraudulent communication:
Stop all communication immediately,
Do not send any funds,
Contact your bank’s fraud department,
And alert our team at security@redbird.us or call (615) 790-9004.
Time is of the essence in responding to wire fraud attempts.
8. Policy Updates
This policy may be updated from time to time as threats evolve. All updates will be posted to this page, and major changes will be communicated to our agents and clients.
